Instructions and answers

Find a specific answer or browse by topic. These guides explain how LCMS works and where its limits are.

  • Activating the first company ownerHow the first person for a company gets in, and why it differs from every later invitation.Show answer

The first person for a company is activated by an owner invitation. You request access on the website, a website administrator approves it, and LCMS then emails you a single-use owner invitation that is bound to that email address and expires after seven days. Opening the invitation lets you set up your company. Until you complete it, the invitation is the only way in, and it is the only invitation that creates a company. If the invitation has expired or was revoked, an administrator has to approve a fresh one deliberately. A new invitation is never created just by asking again, and historical approvals are not replayed in bulk.

  • Inviting employees to an existing companyEmployee invitations are created inside LCMS by people who already belong to the company.Show answer

Once your company exists, employee invitations are created inside LCMS by an authorised company user. Open the people area of your workspace and invite the person there. There is no employee invitation form on this website, and there is nothing on this website that can add someone to your company. Accepting a website account does not create or join a company. If someone has accepted access but is being asked to create a company, they have almost certainly been sent to the wrong place. They should sign in to LCMS and open the invitation that was emailed to them instead.

  • Signing in to LCMS and this websiteTwo separate sessions. Signing in to one never signs you in to the other.Show answer

LCMS and this marketing website are separate. Signing in to one does not sign you in to the other, and signing out of one leaves the other untouched. LCMS holds your company, project, inventory and document data, and it always asks for its own sign-in. This website holds only public content, and its account is used for things like submitting a roadmap request or voting. Nothing on this website can act inside your LCMS company, and this website never asks for your LCMS password.

  • Set up QuickBooks Online or Xero accounting connectionsFor company owners using LCMS Pro: operator configuration comes first, then authorization inside LCMS.Show answer

An operator must configure the provider app for LCMS first. A published website description does not mean the provider is configured or connected. 1. Sign in with your LCMS account at https://app.lamacchiasolutions.com/?view=integrations. 2. Open Integrations → Accounting connections. Authorize QuickBooks Online, or authorize Xero and select your organization. Start and finish authorization inside the same LCMS browser session. 3. Run manual snapshots as needed. Review contacts before explicitly importing them into LCMS, and review project mappings. Accountant CSV files are normalized LCMS exports for an accountant to review and map, not universal one-click compatibility. Native accounting connections are LCMS Pro features. Lite excludes the iPhone companion and all AI. Existing beta and legacy grants stay unchanged. LCMS alone controls company access, billing and provisioning; this update does not enable enrollment, checkout or payments. Do not submit provider secrets, access or refresh tokens, accounting or LCMS passwords, or exported company financial data to this marketing website. See Features → Integrations for supported records and release limitations.

  • Creating and scanning QR labelsWhere labels come from, and what to do when a scan does not read.Show answer

QR labels are generated inside LCMS for the items you choose. Print them, attach them to the item, and they can then be scanned from the field tools. Scanning uses the camera on the device. If the camera is unavailable or permission is refused, the same action can always be completed by typing the tag instead, so a scan is never the only route. If a label will not read, first try better light and hold the device steady. If it still fails, type the tag from the label and continue, then reprint the label if it is worn or damaged.

  • Reporting damaged equipmentHow a damage note is recorded when an item comes back.Show answer

Damage is recorded when the item is returned. Choose the item, note what is wrong, and the note is attached to that item's history. The item stays out of available stock until someone deliberately puts it back, so a damaged item is not handed out again by accident. A damage note is a record inside LCMS. It is not an automatic email, and nobody is notified automatically unless your company has configured notifications.

  • Responding to an RFI or submittalYour response is stored beside the original, never on top of it.Show answer

Open the item from the project and write your response. The response is saved as a separate entry with the reviewer and the time it was recorded. The document as it was received is never overwritten. Both the original revision and your response stay readable side by side, which is what makes a later review meaningful. If the item was shared through a portal, the outside party responds through that portal. Their response and any attachments are kept separately, and responding does not make them a member of your company.

  • When a PDF will not processWhat causes a drawing upload to fail, and what to try next.Show answer

Drawing sets are uploaded as PDFs and processed into a draft publication. A very large set, or a file that is not really a PDF, is the usual cause of a failure. Try uploading the sheets in smaller batches, and check that the file opens normally outside LCMS. A scanned image wrapped in a PDF is not text and will not be searchable, because LCMS does not run optical character recognition. Processing produces a draft. Nothing is visible to the rest of the team until you publish it, so a failed run never leaves a half-published set behind.

  • Working offline and resolving conflictsWhat queues while disconnected, and what happens when two people touch the same record.Show answer

Field drafts queue while you are disconnected and are submitted when you are back online. You can see what is still waiting before you submit it. Offline access cannot be revoked the moment a device is disconnected, and storage on a device can expire or be cleared by the browser or the operating system. Do not treat a device as a permanent copy of your records. If two people change the same record, the later change is not applied silently over the earlier one. You are shown the conflict and choose what to keep.

  • Portal links expiring or being revokedWhy a shared portal link stops working, and how to issue a new one.Show answer

A portal link carries an expiring grant. When the expiry passes, or when someone revokes the grant, the link stops working and the outside party can no longer open it. Issue a new grant from LCMS when you still need a response. A revoked link cannot be revived. A name typed into a portal is not a verified email address. Treat a portal as a way to receive a response, not as proof of who sent it.

  • Checking which version you are runningInstalled version, source release and installers are three different things.Show answer

The version the live server is running is reported by the server itself. You can see it on the status page, and inside LCMS. A release article is not a statement that anything is deployed, and it is not an iPhone app download. The status page is the only place this website names a version, and it only does so when the server reports one itself.

  • Reservations, dispatch and physical checkoutA reservation holds stock; a checkout moves it.Show answer

A dispatch reservation holds the stock so it cannot be promised to someone else. It is deliberately kept separate from a physical checkout, which is the moment an item actually leaves. Reserving does not move anything. If a reservation is cancelled the stock is released. A recorded location is where an item was last seen, not live tracking. LCMS does not follow equipment by GPS.

  • Working with a superseded drawing revisionOlder revisions stay readable and clearly marked.Show answer

When a newer revision is published, the older one is marked as superseded. It stays available for reference and is never quietly deleted, so you can always see what was issued at the time. Pins belong to the revision they were placed on. Opening an older revision shows the pins that were on it then, not the pins added to the current set. Always check the revision shown before you act on a sheet, and use revision comparison when you need to see exactly what changed.

Still stuck? The support form is the reliable route, and it records your ticket whether or not an email goes out. Never send a password, an invitation link or a full set of project documents.
